POSITION SUMMARY
Under the direction of the Sr. Design and Entitlements Coordinator, the Development Coordinator will support the needs of the Sr. Development Coordinator, as well as the D&E Coordinators in overseeing invoicing; administrative duties, ensuring positive vendor relations, complying with reporting and administrative requirements. This position helps bridge the expectations and efforts of all parties involved in the overall development process. As an important part of the Design & Entitlements team, you will work with the design managers and development managers to support the essential administrative functions of the development and construction industries. ESSENTIAL FUNCTIONS
Manage the Development invoices inbox by:
Acquiring all invoices through TimberScan
Route non-Development invoices to the correct internal parties
Respond to all vendor inquiries for outstanding invoices
Coordinate with various team members to identify solutions for invoices held for processing
Assist with data entry of invoices into TimberScan and research invoice coding errors, as needed
Communicate with the team regarding invoice status and fix any issues in a timely manner
Provide back-up support to the Sr. Development Coordinator for the weekly check request process, coordinating between AP and the various internal approvers to ensure timely payment of urgent requests
Compile bi-weekly project status reports for the Development Project Management team
Coordinate and set internal and external calls and meetings for the Design team and outside consultants.
Assist with entering and keep track of project milestones
Setting up new projects on SharePoint and Procore
Entering proposals and change orders for consultants
Perform related duties as assigned
SKILLS AND ABILITIES
Education: High School Diploma required.
Experience: At least 5 years of Administrative Assistant experience required.
Technical Skills: Advanced Microsoft Office skills (Excel and Outlook in particular), knowledge of Sharefile software preferred, Timberscan/Sage (or similar software) experience is a plus.
